SUMMARY:

The Tourism Development Coordinator supports the Tourism Development Department by providing administrative, logistical, and partner engagement support. This role is responsible for maintaining data in the IDSS system, assisting with site visits and international cooperative programs, coordinating event marketing efforts, and supporting a range of tourism and partnership events. The position collaborates cross-functionally with internal teams to ensure effective execution of key projects such as KC Restaurant Week, the Annual Meeting, and the VIP Program. Reporting to the Vice President of Tourism Development, this non-exempt position requires strong organizational, communication, and technical skills. A college degree is preferred.

KEY RESPONSIBILITIES

  • Performs IDSS Data entry by entering new accounts, updating existing accounts, adding tradeshow notes and any follow-up
  • Assist with site visits, FAMS and workshops
  • Assist with managing international coop programs through various in-country organizations
  • Provide administrative and project support to the Vice President of Tourism Development.
  • Coordinate event marketing efforts, including managing attendee communications and signage requests
  • Provide organizational support such as partner reports, PowerPoint decks, board reporting, international leisure tracking etc.
  • Collaborate with Partnerships and Events team to coordinate day-to-day activities that lead to the completion of projects and tasks
  • Support the Director of P&E and Events Manager with Visit KC events including, but not limited to, KC Restaurant Week, Annual Meeting, Tap Tour Kickoff, Spotlight Series and Partner 2 Partner
  • Assist the Partnership Engagement Manager on partner dues process and entering new and existing partner information into iDSS
  • Prepare and send all sponsorship invoices for Annual Tourism Outlook and Kansas City Restaurant Week
  • Manage all tickets and amenity inventory received on trade
  • Send requests for photos, or missing information needed for partner listings
  • Create and maintain the monthly master events calendar
  • Assist the Director of the Visitor Center with preparing presentations and collateral for the VIP Program
  • Other duties as assigned

EDUCATION AND EXPERIENCE

College degree preferred.

REQUIRED KNOWLEDGE, SKILLS & ABILITIES

  • Strong analytical/problem solving skills
  • Excellent time management, interpersonal, organization, prioritizing, decision-making, and planning skills
  • High level of proficiency in all Microsoft programs and ability to quickly learn industry related CRM
  • Ability to communicate effectively with a wide variety of customers
  • Ability to occasionally work evenings and/or weekends
