Personal/Executive Assistant

Portland, ME

We are working with our client, The Chairman of $5.9B AUM private equity firm and owner of the Maine Mariners in seeking a Personal Assistant for him and his family, to be based in Portland, ME.

Requirements of the Personal Assistant:

  • 5+ years’ experience supporting HNW family, or sitting in a similarly placed EA role
  • Proficient with Microsoft Office suite – specifically Outlook
  • Experience planning complex travel using private charters, points, vouchers, etc.
  • Excellent time management skills and ability to maintain composure under pressure
  • Extremely organized and a proactive thinker with a keen attention to detail
  • Ability and willingness to learn quickly and operate in fast-paced environment
  • High level of personal effectiveness and accountability
  • Quick turnaround with 24/7 mentality and availability – able to respond to emails and requests outside of normal business hours
  • BA preferred

Responsibilities of the Personal Assistant:

  • Take ownership for all personal administrative support for Chairman and family
  • Act as point-person for facilitating board meetings and related day-to-day personal operations for Chairman/owner and family
  • Partner with Executive Assistant to ensure that all aspects of family life are properly managed, and that every day runs as seamlessly as possible
  • Able to maintain a high level of integrity and discretion in handling confidential personal and foundation information
  • Act as a gateway – single point of contact that assists outside vendors, contractors, administrators, etc. with all coordination efforts
  • Schedule all personal family and extended family travel in a concise and complete manner, ensuring accurate calendar management across multiple time zones
