About the Role

PAI seeks a Director of Human Resources and Office Operations, who will oversee all HR and office operations. This position plays a crucial role in supporting an inclusive workplace that enables our team to effectively advocate for sexual and reproductive health rights worldwide. The Director of Human Resources and Office Operations will report to the President & CEO as a member of the Executive Team, working in collaboration with their colleagues in other functions to develop and execute a variety of HR processes and to support office operations. This position is a strategic yet hands-on role who can seamlessly integrate big-picture thinking with tactical execution.

In this hands-on role, you will manage a small but dedicated team and will have a crucial role in delivering human resources and office operations services to the organization.

The successful candidate will have deep experience working across all aspects of the HR function. The ideal candidate will also demonstrate innovation and creativity, a high-level of digital literacy, employ data-driven analysis to inform decision-making and possess a deep care for details. They will be highly motivated to roll up their sleeves, deliver excellent work, build community and be very adaptable as part of a growing, collaborative, results-focused team. Excellent writing and speaking skills and a desire to learn and grow are required.

Education and Experience Requirements

  • Bachelor’s degree in Human Resources, Business Administration, Nonprofit Management, or a related or equivalent field is required. Current HR certification (e.g., SHRM-CP or SHRM-SCP) preferred.
  • At least ten (10) years of progressively responsible HR experience, with 5 years in a leadership role.
  • Demonstrated experience in HR management including recruiting, talent development, employee relations, performance management, policies and procedures, and compliance with employment laws and regulations.
  • Strong experience in operations management including developing and overseeing administrative processes, vendor management, and budget oversight.
  • Nonprofit experience is a plus, but candidates from diverse sectors are encouraged to apply. Experience with an international workforce including EORs and secondment arrangements is a plus.
  • Excelled communications skills, both oral and written, with the ability to interact effectively with all levels of staff and stakeholders.
  • Proficiency in HR technology platforms including HRIS, ATS, payroll systems, and performance management solutions, and standard business software.

Essential Duties and Responsibilities

Human Resources (65%)

  • HR Team Management: Manages the Office Coordinator, Operations Manager, and IT staff, creating a cohesive team environment, guidance and professional development/direction based on the team member’s needs.
  • HR Strategies: Collaborates with President & CEO and colleagues on the Executive Team in proactively identifying and implementing HR strategies, goals, and process maturation.

  • Talent Acquisition and Onboarding: Works closely with hiring managers to identify and onboard new talent, ensures an orientation experience that provides new employees with the proper grounding for success at PAI. Manage recruitment efforts for all personnel. Oversee the placement of advertisements in, association publications and job boards; coordinate available positions with temporary staffing agencies. Accept resumes and screen applicants, interview, and assist with the final decision process as appropriate.
  • Employee Relations Management : Address and resolve employee relations issues by fostering open communication, providing guidance on conflict resolution, and implementing best practices to promote a positive workplace culture.
  • Total Rewards Management: Leads efforts to consider enhancements and/or new design elements of the organization’s benefits and compensation programs. Establish relationships and interface with benefit providers, insurance brokers, and third-party administrators; review and submit all invoices for benefit services and resolve any discrepancies. Assure that all additions/deletions/changes in coverage are communicated to insurance carriers. Identifies the need for program or process improvements; leads the evaluation and selection of new service providers. Oversees the annual open enrollment process.
  • Performance Management: Researches best practices in motivation and performance; responsible for the design, execution, and ongoing management of the organization’s PM process, including the selection and implementation of the optimal technology supports to facilitate performance planning. Leads the annual and bi-annual performance review processes.
  • Human Resources Information and Payroll Management: Creates and maintains confidential employee files in accordance with best practices and legal requirements; ensures the accuracy of data and information contained in the files. Oversees the efforts of the Operations Manager in the management of semi-monthly payroll processing for employees. Oversees leave management including FMLA
  • Policy and Compliance: Develop, recommend, and implement personnel policies and procedures; maintain employee handbook. Answers questions and requests from staff to provide clarification on policies and procedures. Ensures PAI’s compliance with federal, DC and other state employment laws, where applicable.

Office Operations (35%)

  • Office Management . Supervise, review, and approve the office management functions to include purchasing office supplies, office equipment, and furniture, renewal of vendor contracts, and space arrangements; responsible for mailroom and office equipment maintenance; respond to staff office requests.
  • Leasing . Act as liaison with building management for decisions regarding the company’s office space requests or other issues regarding the office space. Negotiate costs, troubleshoot problems, and coordinate with vendors and building management on office needs.
  • Commercial Insurance . Manage the organization’s commercial insurance portfolio, including assessing coverage needs, coordinating with insurance providers, and ensuring compliance with policies to mitigate risk and protect organizational assets.

Salary and Benefits:

This position is based in Washington, D.C., the salary range for this role is $125,000 to $140,000 USD, plus benefits. This is a full-time, exempt position. The final offer for a successful candidate will be determined by a combination of factors, including, but not limited to, skill set, level of experience, education, and market considerations. PAI offers a comprehensive benefits package that includes health, dental and vision care, direct contribution 403(b) retirement plan, and flexible spending account.

Other Information:

Please note, the position is on a hybrid work schedule currently. Four days a week, Monday, Tuesday, Wednesday, and Thursday during PAI’s core business hours (9am to 5pm) are required in the PAI office in Dupont Circle with Friday working from home.
